A.   Task Management

In Checkmark a simple task can be created as a stand-alone individual task or as an item in a checklist. This section describes management of stand-alone individual tasks, for managing tasks within a checklist see Checklist Management 

Create Task

Tasks can be created from Options menu or Context menu

Creating Task from Options menu:

  1. Press Menu
  2. Select New task to open the New task window

Creating Task from Context menu:

  1. Press and hold Category icon(green circular icon) in the dashboard navigation bar to bring up Context menu
  2. Select New task to open the New task window

* Tip:  Task created under non default category(All, Favorites) will have the same category selected in the New task screen


Add/Edit Task Details

The New task or Edit task screen allows you to add and edit the settings and information for a task in the following fields:

  • Title:  enter name of the task
  • Action: Set actions to be performed on the task. Currently available actions are: phone, msg, email, map and browse.
  • Category:  assign the task to a category
  • Priority:  assign the following priority levels to the task -  None, Low, Medium and High
  • Note:  enter any additional information about the task
  • Due Date and Time:  set task due date and time
  • Alarm:  set alarm for the task
  • Repeating:  set repeating settings for recurring task 
  • Sync: Sync to Google calendar you set in settings page. If no calendar is defined. The field will not be available. 
    Tip: use Save+ icon to add multiple new tasks without leaving New task screen

Edit Task

  1. In the dashboard view select the task you want to edit
  2. The Edit task screen will be opened for user to edit the details of the task

Delete Task

  1. In the dashboard view press and hold the task you want to delete to bring up the Context menu
  2. Select Delete task from the menu option
or
  1. Press and hold Category icon(green circular icon) in the dashboard navigation bar to bring up Context menu
  2. Select Delete checked task(s) from the menu option. This will delete all completed task(s) in the selected category from the dashboard view

B.    Checklist Management

Create Checklist

Checklists can be created from Options menu or Context menu

Creating Checklist from Options menu:

  1. Press Menu
  2. Select New checklist to open the New checklist window

Creating Checklist from Context menu:

  1. Press and hold Category icon(green circular icon) in the dashboard taskbar to bring up Context menu
  2. Select New checklist to open the New checklist window

Add/Edit Checklist Details

The New checklist or Edit checklist allows you to add and edit the settings and information for a checklist in the following fields:

  • Title:  enter name of the checklist

Edit Checklist Details

  1. In the dashboard view press and hold the checklist you want to edit to bring up the Context menu
  2. Select Edit checklist to open the Edit checklist screen

Delete Checklist

  1. In the dashboard view press and hold the checklist you want to delete to bring up the Context menu
  2.  Select Delete checklist from the menu option (deleted checklist will be put into recycle bin first)

Edit Checklist Contents

In the dashboard view select the checklist you want to edit to bring up the Checklist View screen. Checklist View screen has two modes - View mode and Edit mode 

  • View mode allows you to check/uncheck list items, check/uncheck all, show unchecked only, etc.
  • Edit mode allows you to add new item/category or modify the checklist contents

You can tap on the checklist icon on the top left corner of the title bar or use Options menu to switch between View and Edit modes. Edit mode is identified by a checklist page with pencil icon.

To add an item:

  1. Enter Edit mode in the Checklist View screen
  2. Press and hold the title bar of the checklist or a category to bring up Context menu
  3. Select Add item to open the New Item screen
 Tip: use Save+ icon to add multiple new items without leaving New item screen

To add a category (available in Pro version only):

  1. Enter Edit mode in the Checklist View screen
  2. Press and hold the title bar of the checklist or a category to bring up Context menu
  3. Select Add category to open the New category window
 Tip: use Save+ icon to add multiple new categories without leaving New category screen

To edit an item or a category:

  1. Enter either View or Edit mode in the Checklist View screen
  2. Select the item or category you want to edit 
  3. The Edit item or Edit category  screen will be opened

Note: the behavior might be changed later for better user experience

*** Do not change orientation during checklist item add/edit. There is a limitation in out data structure which will not save your data if you do so. We will look into the issue in the future.

Advanced Checklist Edit Options in Checklist View

Checklist View screen provides a set of edit options for you to configure the checklist as needed.  These options are context menu driven and the menu options are different for View mode and Edit mode.

In View mode:

        Press and hold the title bar of the checklist to bring up Context menu

  • Check all:  Check all checklist items
  • Uncheck all:  Uncheck all checklist items
  • Show unchecked only:  Show only the unchecked items
  • Show checked only:  Show only the checked items
  • Expand all:  Expand all categories under the checklist. The menu item will not be shown if there is no category defined in the checklist
  • Collapse all:  Collapse all categories under the checklist. The menu item will not be shown if there is no category defined in the checklist

In Edit mode:

  • Press and hold the title bar of the checklist to bring up title Context menu
    • Add item:  Add a checklist item to the end of the checklist
    • Add category:  (available in Pro version only) Add a checklist category to the end of the checklist
    • Delete checked item(s):  Delete all the checked items from the checklist
  •  Press and hold a category of the checklist to bring up category Context menu
    • Add item:  Add a checklist item to the end of the category
    • Add category:  (available in Pro version only) Add a subcategory to the end of the category
    • Move up:  Move the category up one level under parent node. The option will not be shown if the category is already on the top of the parent node
    • Move down: Move the category down one level under parent node. The option will not be shown if the category is already on the bottom of the parent node
    • Move to category: Move the category and its child items under another category or checklist root
    • Demote to a item: Demote the category to a item. The option will be shown if the category has no child item 
    • Delete category: Delete the category and all its child items from checklist
  • Press and hold a item of the checklist to bring up item Context menu
    • Move up:  Move the item up one level under parent node. The option will not be shown if the item is already on the top of the parent node
    • Move down:  Move the item down one level under parent node. The option will not be shown if the item is already on the bottom of the parent node
    • Move to category:  Move the item under another category or checklist root
    • Promote to category: Promote the item to a category
    • Delete item: Delete the item from checklist

C.     Advanced Features

Export and Import

To Export a checklist:

  1. Press and hold the checklist you want to export
  2. Select Export checklist menu item from the context menu options
  3. The checklist will be exported to SD card with [Title].cmk name convention

To Import a checklist:

  1. In Dashboard view,  From Options menu, click Import to import a checklist
  2. You can import a checklist from previously exported checklist or checklist from other people

Backup and Restore

To Backup Checkmark data (available in Pro version only) 

  1. In Dashboard view,  From Options menu, click Settings to bring up Settings view
  2. Select Backup to backup the database to SD card

To Restore Checkmark data(available in Pro version only)

  1. In Dashboard view,  From Options menu, click Settings to bring up Settings view
  2. Select Restore to restore the database from SD card

Sharing Checklist via Email

You can share your checklists with others via email. 

  1. Press and hold the checklist you want to share via email
  2. Select Share via email menu item from the context menu options

There are two format you can share your checklist

  • Checkmark format: This is the default binary format of Checkmark file and can only be read by Checkmark app
  • HTML format:(available in Pro version only) This is html version of the checklist and be view/print from any web browser

Templates

Using Template is a convenient way to duplicate and re-use a checklist created by you or by others. We built in several common templates that you might find useful.

To Save a checklist as a Template

  1. Press and hold the checklist you want to save as Template
  2. Select Save as Template menu item from the context menu options

To Create a checklist from Template

  1. From Options menu, click Template to bring up Template view
  2. Press and hold the template you want to use and select Create checklist, A new checklist will be created based on the template you selected
  3. User can delete the user defined template the same as as checklist in Template view. Predefined templates cannot be deleted.  

Synchronize Task/Checklist to Google Calendar

You can sync task and checklist to Google calendar as needed.

  1. In Dashboard view,  From Options menu, click Settings to bring up Settings view
  2. Click on the Calendar entry and a calendar selection dialog will pop up. Select the default calendar you would like Checkmark to sync to
  3. Once the calendar is set, you will see the Sync to Calendar option in Add/Edit task/checklist page once a due date is set.
  4. Check the 'Sync to Calendar' option to sync the task or checklist into Google calendar. Checklist will only sync the general info part to calendar.

Widget

The Checkmark comes with a 3x3 widget to display the tasks/checklists with due date.
